Eight Steps Newsletter Writing; 4- Writing

Writing being the major part of a newsletter needs the most of your attention. You may have a plenty of information about the topic you’re going to write on, but not everything you know should necessarily be the part of your newsletter. This is mainly because of the reason that it’s quite possible that some of or may be most of your readers already have the basic information. In this case starting with the basic is no wisdom. Instead just have an analytical approach and get hit. 

Just have a glimpse of your readers, i.e. who they are. And then think the possible information they may have. Now take a start by telling them ‘as they already know this’, they must know what you’re going to tell them. This will create a sense of carefulness among them that they are being told about something they are interested in. A list of guidelines can be there to boost the content of the newsletter with essential elements, some are as follows: 

  1. Always answers the six Ws, i.e. Who, What, Where, When, How and Why.

  2. Keep your sentence structure according to their readability, i.e. keep the length of the sentences short and in understandable form.

  3. Use active voice instead of passive.

  4. Garnish your writing with related quotes.

  5. Use attractive vocabulary, but not one that makes the reader perplexed.

  6. Never get too verbose.

  7. Be practical and include the observations not the assumptions.

Presenting your newsletter in the best possible manner is the way to get the maximum results out of it.

Eight Steps Newsletter Writing; 3- Selecting the Content

A newsletter is effective only when the content in it talks about readers’ interest. So while selecting the content the writer must need to know what the reader would like to read. The ‘news’ of course has to have some pleasant effect on the reader, so that it can stimulate the readers’ interest in what other things you’re saying.  

In order to make the reader getting involved in your word, firsts of all break the news in two forms, i.e. preview and review. The former one is a speculative analysis of the events or happening, and the later one is the explanation and commentary on the past happenings along with speculations of the effects of these happenings. 

The second important matter for the content of a newsletter is the element of regularity in it. This regularity depends on the number of issues you aim to have in one year. Always keep a room for something new in each issue, so that the reader shouldn’t fell that he’s getting bored by the repetition. 

Presentation is said to be the redeeming feature of any object, so it is of a newsletter. Try to think a totally different angle with which you’re going to present the news. Most probably the news you’re aiming to tell your readers is something they already know, so just change the angle and present it in a way they’ve never experienced before. 

And finally keep a balance in the features of the content, i.e. not unrelated content should be the part of the newsletter.
