Eight Steps Newsletter Writing; 6- Presentation

Presentation of your newsletter makes half of the impression so it’s worth considering. The newsletter’s layout should sound very professional and should use some standard format.  Let’s start with the font: ‘Times New Roman’ and ‘Arial’ with standard text size of 12 pt and automatic color looks quite professional. The exception in this case can be when your audience includes children or young people. Justification depends on your mood, but be very careful while justifying the text. Keep in mind that same format should be applied on the whole document. The direct relation of the font with the heading needs particular attention; experts suggest headings to be three times of the text. These can be decorated or formatted in accordance with the requirement, i.e. nature and attitude of the readers.  Paragraphs of a newsletter can be constructed either by giving a line space between two paragraphs or by indenting the first line of the new paragraph. It’s, however, recommended not to use both of them at the same time. The illustrations in the paragraphs should be precise and concise. Over all it should not give a messy impression. Use of pictorial representation is though suggested but is restricted to be of top quality. In case if you’re short of quality images DO NOT use the substandard ones. 

Borders along with the logo of the company should give a clean look. It’s recommended to have a presentation is odd number of columns, i.e. three of five. It’s, however, more professional to have three columns as an A4 size paper cannot hold five columns. Each column is advised to have a different look, i.e. breaking the grid can make the paper look more interesting. And finally have a careful look at the layout of the newsletter; it’s better to get it discussed with two or tree individuals for an instant feedback before letting it go to the masses. The individuals whom you’ve to discuss the newsletter before issuance should not necessarily be shown the full newsletter, but a general layout with testing text.
