As the news letter is reproduced in accordance with the medium of delivery, the deliver process still has to be taken care of. The printed copies can either be hand- delivered or posted.

The former option is the best one, as it doesn’t only makes the delivery sure but the person delivering if can spare a little more time, the expression of the reciever can also be noticed for the immediate feedback. Delivering the newsletter by hand reduces the probability of the newsletter being thrown away. The important thing to be taken care of while delivering the newsletter by hand is ‘timing’. It must be kept in mind that you should visit the people in the time they are expected to be available.

While selecting the posting method for the delivery of the newsletter keep in mind:

  • The Copy should not be sent to the each and every one in the department. Send the paper to the selected people only.
  • Sending the newsletter to a responsible authority like, the HOD can be a better choice.
  • Though not researched much but few examples have shown that people are not in normal position in the afternoon of weekends and in the morning of the first day of the week, so avoid to send the newsletter in these days.

And as far as sending newsletter via email is concerned, it’s the most sophisticated way, but the only problem with this type of delivery is that the probablity of newsletter to be sent to trash folder is very high.

Eight Steps Newsletter Writing; 7- Reproducing The Copies

Once you’re done with the main copy, the newsletter seems to be complete as well. But it only seems, in actual it’s not complete till yet. It needs a further careful look, as an important decision to be taken by now. Your newsletter is to be distributed among the groups so it needs number of copies. Now how you want your newsletter to be printed, all depends on how much money you want to spend on it. Newsletter if printed professionaly gives much better impression.

Reproduction of the newsletter entirely depends on the medium you’re going to use for the distribution of it. If the newsletter is going to be distributed manually, then the printing issue is very crucial. Getting the newsletter professionaly printed worths more than the photocopied one. Getting the newsletter printed in different colors is a bit expensive but it’s necessary as many images just lose their essence if they are not in their original colors.

One tip may work in case if you’re having many images and low budget, then get the theme image (the front cover) be printed in colors, and let the other images be in black and white. And in case it doesn’t look better it’s ok if the newsletter you’re getting it photostated. And for a better newsletter in photocopy form it must be copied onto A3 paper, stappled, and must have a limited number of images on it.

The process of reproduction of a newsletter becomes no problem if it’s to be distributed via internet. Having as many copies as needed you can cover the maximum audience. It’s, however, equally important to keep in mind all the display requirements in mind here as well.
